Summary Seeking a
qualified and experienced Office Manager to join our early childhood education team on a part-time, temporary basis. The ideal candidate will hold a current Georgia Director?s License, possess a degree in Early Childhood Education (or any degree with at least 5 years of experience in the field), and demonstrate strong knowledge of Bright from the Start requirements. This role supports the daily administrative operations of our academy, ensuring compliance, smooth communication, and efficient coordination between families, staff, and leadership.
Duties - Oversee daily front office operations, including opening procedures and staff coordination
- Ensure compliance with Bright from the Start and state licensing requirements
- Maintain accurate child attendance records, staff ratios, and enrollment documentation
- Support the Director with Quality Rated preparation and documentation
- Manage family communication, including emails, phone calls, and in-person inquiries
- Collect and organize tuition and program forms; maintain confidentiality of all records
- Assist with scheduling staff breaks and monitoring coverage throughout the morning
- Update systems regularly with required information
- Support meal program documentation and monitor food program compliance (CACFP)
- Maintain a professional, welcoming environment for children, families, and visitors
- Coordinate monthly newsletter drafts, event reminders, and bulletin board updates
- Communicate directly with the Executive Director and Director regarding any issues or updates
- Participate in occasional staff meetings and professional development as scheduled
Requirements - Current Georgia Director?s License (required)
- Degree in Early Childhood Education (ECE) or any field with a minimum of 5 years experience in early childhood education (required)
- Proven experience working in a licensed childcare facility or preschool (required)
- Strong working knowledge of Bright from the Start regulations and Quality Rated standards
- Proficiency in administrative systems such as Procare, GAPDS, and CACFP reporting tools (preferred)
- Excellent organizational skills and attention to detail
- Strong communication and interpersonal skills with both families and staff
- Ability to manage sensitive information with integrity and confidentiality
- Basic computer skills, including email, document management, and Google Workspace tools
- Professional, reliable, and punctual
- CPR/First Aid Certification or willingness to obtain within 30 days of hire (preferred)
Nice To Haves - Experience supporting or leading Quality Rated assessments or accreditation visits
- Familiarity with KidKare, DECAL KOALA, or similar compliance tracking systems
- Background in staff scheduling, onboarding, or human resources support
- Bilingual in English and Spanish (or other second language)
- Knowledge of Georgia?s Childcare and Parent Services (CAPS) program
- Previous experience working in a Reggio-inspired or literacy-focused early learning environment
- Experience planning school events, managing communications, or creating newsletters
- Passion for early childhood development, advocacy, and family engagement
- Strong leadership presence with a calm, nurturing approach to problem solving
