Description We are looking for a detail-oriented Accounting Assistant to join our team in San Mateo, California. This Contract-to-Permanent position is ideal for an individual with strong organizational skills and a passion for accuracy in accounting processes. Working within a non-profit environment, you will play a key role in ensuring financial transactions and records are properly managed and compliant with established guidelines. Responsibilities: - Accurately review and classify financial transactions, including invoice payments, daily cash receipts, revenue billing, and expenditures reports. - Process accounts receivable by researching receipts, preparing deposits, and tracking aging invoices to ensure timely collection. - Manage accounts payable by verifying vendor invoices, resolving discrepancies, and preparing payment vouchers aligned with general ledger accounts. - Review purchase requisitions, verify supporting documents, and create purchase orders in compliance with organizational policies. - Monitor grant and system budget accounts, reconciling monthly financial transactions and preparing detailed reports. - Conduct monthly bank reconciliations and verify cash balances across accounts. - Assist with annual audits by compiling financial records and ensuring compliance with internal accounting controls. - Track and maintain fixed asset inventory records to ensure accurate reporting. - Prepare financial spreadsheets and accounting reports to support organizational needs. - Recommend and implement efficiency improvements in accounting processes after obtaining approval. Requirements - Associate's degree in Accounting required; Bachelor's degree in Accounting preferred. - Minimum of 3 years of experience in accounting or finance, preferably within a public or non-profit organization. - Proficiency in accounting software systems such as ADP, CaseWare, Concur, and ERP tools. - Strong knowledge of accounting functions, including accounts payable (AP), accounts receivable (AR), auditing, and bank reconciliations. - Familiarity with financial reporting and compliance processes. - Ability to work independently while maintaining exceptional attention to detail. - Excellent organizational and time management skills to handle multiple assignments efficiently. - Strong communication skills to interact effectively with vendors, contractors, and internal team members.
